An agentic orchestration layer that reduces project management workload by automating execution-heavy coordination across the project lifecycle — embedded directly in Microsoft 365 — enabling leaner delivery teams to focus on core objectives rather than administrative overhead.
In complex cybersecurity programs, delivery success depends heavily on structured project management. But as program size grows, so does the volume of coordination work — RAID logs, action tracking, status reporting, and stakeholder communication — much of it repetitive and manual.
This creates a scaling problem: organizations are forced to add project managers not to drive strategy, but simply to maintain operational control. Valuable senior capacity is consumed by routine coordination rather than domain-specific problem solving.
At program scale, the PMO function becomes a cost center that grows near-linearly with delivery complexity. Leadership needed a way to decouple coordination capacity from headcount while keeping delivery standards consistent and auditable.
Production
We developed a modular PMO agent built on Microsoft 365 Copilot technologies, deployed as a central orchestration layer for project management and embedded directly into the collaboration tools teams already use.
Core capabilities include:
Maintains and updates RAID logs continuously without manual upkeep
Tracks actions and drives follow-ups across the project lifecycle
Orchestrates meeting logistics and project communications
Integrates with Jira and ServiceNow for end-to-end delivery visibility
Generates status updates and leadership-ready materials on demand
Handles recurring project management processes consistently across teams
The modular architecture deploys quickly without heavy IT involvement and scales across multiple projects and teams — turning the PMO from a headcount-bound cost center into a repeatable, governed capability.
Snet = NPMs × Hannual × Pcoord × Rautomation × Chr − Cplatform
NPMs = project managers | Hannual = working hours/year | Pcoord = % time on coordination | Rautomation = automation rate | Chr = fully loaded hourly rate | Cplatform = annual platform cost
Example — Enterprise cybersecurity program, 4 project managers, 50% time on coordination tasks
| Annual coordination cost | 4 × 2,080h × 0.50 × €85 | = €353,600 |
| After 40% automation | savings: €353,600 × 0.40 | = €141,440 |
| Platform cost | − €18,000 | |
| Net annual savings | €123,440 |
Illustrative estimate. Actual savings depend on program size, team structure, and M365 licensing. Platform cost assumes Microsoft 365 Copilot-based deployment.
