Role Overview
The role is responsible for providing Business Support & Administration to Executive, Senior, and Function Heads ensuring adherence to global admin policies, procedures, and protocols. Responsible for supporting Office & Facilities management ensuring smooth running of the Office. This role will be responsible for providing 1-2-1 support for the Head of Investor Relations and Group CFO.
Duties and Responsibilities:
Executive /Personal Assistant
Provide business and administrative support including, but not limited to:
- Gatekeeper ensuring comprehensive and accurate calendar management.
- Work closely with the Executive team to ensure workstreams are on track.
- Manage all aspects of Executive travel, meetings, legal documents, and compliance paperwork.
- Assist designated functional teams with general administrative tasks as required.
- Support with preparing slides and presentation materials for business meetings; ensuring all marketing materials are correct and signed off.
- Assist with Projects as requested by the Executive.
CEO Office
- Assist with tracking and managing deliverables for the CEO Office, Executive Leadership Committee including managing and tracking action items.
- Support with preparing slides and presentation materials for business meetings; ensuring all marketing materials are correct and signed off.
- Assist with Projects as requested by the CEO Office, Executive Leadership Committee, and Management Committees.
Board & Committees Support
- Support Company Secretary with board prep, events coordination and hosting including but not limited to materials preparation, scheduling, and administrative support.
- Act as Secretary to the assigned Committee and ensuring that items are on the agenda per the schedule, circulating action points and following up on action points.
- Act as back-up Secretary to assigned Committee (3rd level support)
Business Change Management Support
- Act as Business Change Champion assisting IT and Business Operations with user acceptance testing, deploy, and business change management.
Essential Skills and Qualifications:
- Minimum 3-5 years of experience in a similar role or corporate environment.
- Advanced IT skills, including proficiency in relevant software and tools.
- Strong analytical and/or numeric abilities.
- Discreet, trustworthy, flexible, and adaptable in handling confidential information.
- Excellent oral and written communication skills.
- Proactive and able to take initiative to anticipate needs and solve problems.
- Demonstrates tact and diplomacy in handling sensitive situations.
