Given our mobility as organizations and our robust technology infrastructure, we have the capacity to work virtually for an extended period of time and to continue delivering valuable work even during disruptive events.
As we navigate the coronavirus (COVID-19) crisis, some of us will need to consider alternate/remote working arrangements. We’ll adapt our work plans to integrate new ways of working to continue to meet our goals, provide quality service and achieve our
project objectives.We’re able and equipped to work remotely, including from home. Our infrastructure and technology tools enable us to work remotely with teams in a variety of locations.
Here’s what you need to know to work effectively regardless of your location:
1. Set expectations for your teams
You should have an explicit planning conversation with your team on mutual expectations for connectivity and create a plan around the tools and methods we will use to collaborate.
- Confirm and circulate contact information for each team member
- Establish daily check-ins at the same time each day
- Set a weekly meeting cadence for reporting
- Provide remote options always, even for local meetings
- Agree on revised assignment delivery schedules as needed to adjust to remote teams
- Over-communicate on status updates and unforeseen circumstances
- Be mindful of not sharing sensitive or confidential information
2. Establish clear teaming behaviors
- Communication between team members is more important than ever. So is discipline and avoidance of distraction.
- Fostering trust in the team is vital. We need to continue confiding in each other to complete our own roles and responsibilities and raise our hand whenever we may need additional support
- Specific guides and goals with constant clarification reduce uncertainty and variability. Always ensure there is agreement on the plan and follow-up with team members to minimize misunderstandings
3. Know your technology options
We can leverage a lot of technology tools to make virtual collaboration easy
- Always ensure scheduled meetings contain (e.g Zoom, Webex) and dial in options
- Test your microphones, cameras, speakers, and internet connection before the scheduled meeting, especially if you will be the one leading it or sharing your screen
- Ensure there is a group all team members have access to for real-time communication (i.e. whatsapp)
- Ensure team members understand the platforms available to them for communication (such as Skype, Microsoft Teams, Zoom)
